Plan school holidays half a day at a time

Turn your school’s dates into a confirmed childcare plan, keeping holidays, closures and adult availability separate.

Check each child’s school calendar

Start with the calendar provided by the school. National, regional or district dates may not include a staff training day, an individual school closure or an early finish. Note the source and school year, then check that the version is current.

If children attend different schools, do this for each one. An early finish needs an actual time. Remote learning does not necessarily mean a day without schoolwork. Keep these situations distinct when planning support.

Map the need before finding solutions

Divide the period into mornings and afternoons, using times that matter to your family. Add journeys and the time they require. Two covered half-days do not solve the problem if no one handles the midday transition.

Fictional example: holiday club on Monday morning, a grandparent in the afternoon. You still need to confirm who collects the child, where the handover happens and at what time. Make that transition a separate responsibility.

Separate a suggestion from a confirmation

Use three simple states: to arrange, proposed and confirmed. Sending a club application does not mean a place has been allocated. Asking a relative does not become an agreement until they reply. Keep confirmations and useful conditions together.

Bookings, eligibility and deadlines vary by location and provider. Consult the relevant organisation directly; this guide does not supply an exhaustive calendar or guarantee availability. Never reuse last year’s dates without checking them.

Prepare a useful handover

Share what the other adult needs: times, place, contact person and belongings. Avoid putting sensitive information on a sheet everyone can see. Share particular instructions directly with the people concerned.

Before the holiday begins, review any unconfirmed slots. Identify a possible alternative and who can arrange it. During the break, update the plan when an agreement changes and tell those involved.

  • A source and school year for every calendar.
  • A confirmed adult or provider for each needed slot.
  • Someone responsible for every trip and transition.
  • Uncertain arrangements remain clearly marked.
